Job Description
  • Subject matter expert in global mobility programmes, with special focus on mobility in Africa and provide advice and support in all areas related to cross border travel for Deloitte.
  • Collaborate with key stakeholders, including HR business partners and key functional stakeholders (tax, legal, payroll, finance etc.)
  • Responsible for overseeing the mobility process and service providers/vendors (internal & external)
  • Assisting with various support functions for JIT (Just in Time Program), such as travel arrangements, visas, contracts etc.

  • Under close supervision and guidance, assists team to deliver services within defined strategic objectives
  • Researches innovation and trends related to business as directed by line for use in enhancement of service offerings to clients

Differentiators for this specific role:

Mobilisation of Secondments

  • Engage with third party services providers (e.g. Global Employment Services-Visas, relocation services, TravelIT, etc.), through written and verbal communication in order to source quotes in support of the budget preparation input.
  • Advise the Business Unit Partner/Director of any out of the norm billing instructions, e.g. if billing needs to be applied via Deloitte & Touche International Assignments (Pty) Ltd. (DTIA) and how this will be controlled throughout the billing process.
  • Advise and engage the resources and HR Business Partners in South Africa and abroad, on the relevant processes to be applied for continuations towards Group Life & Disability (GL&D), joining of CAMAF for long term secondments, and all other employee benefits applicable.
  • Drafting the relevant Addendum letters and secondment contracts, using the standard templates, to be issued as offer of secondment and engaging with the International Tax Advisory System team to facilitate the relevant tax clause to be included in the Mobility Secondment Agreements. If a South African resource is being seconded abroad, then ensure that the tax clause is included in the Secondment Agreement, as well as inclusion of prescribed service obligation based on details agreed with the Business Unit.
  • Take ownership of the secondment process to ensure that all the relevant contracts, agreed budgets and other documents are saved on the secondee files for ease of reference.
  • Liaise with relevant parties e.g. HR Business partners, Business Unit Partners/Directors to sign individual contracts, as well as Inter Firm Agreement or any additional contracts that may be required.
  • Communicate with the resource to ensure they are aware which forms we require to be completed, what steps needs to be followed, as well as provide overall support for any queries that may arise throughout the secondment process.
  • Communicate with the resource being seconded to South Africa, to obtain an International Drivers Permit before their arrival in South Africa.
  • Assist the Global Employment Services team, where necessary, to support the visa application process.
  • Where applicable, obtain and analyse salary remittance from the resource to ensure that benefits have been structured correctly.
  • Communicate with HR Business Partners to effect salary uplift payments via payroll, if applicable. In addition, obtain any appropriate tax input for payroll consideration.
  • Prepare and provide final review of all welcome to SA emails.

Demobilisation of Secondment

  • Confirm actual date of return with the resource +- 30 days prior to their return to South Africa.
  • Inform resource of the process and expense claim procedure where applicable, upon their return.
  • Initiate notification email to confirm repatriation, to alert the resource, mobility contact home and host, HR home and host and Partner contact home and host, of imminent return Home Firm.
  • Communicate with HR Sending Office to manage the return arrangements of the resource to SA and inform HR of the appropriate settling back allowance, which needs to be applied via the HR Business Partner to payroll.
  • Provide email reminders to HR Business Partners and the business of the agreed service obligation period.

Reporting

  • Obtain monthly reports from Africa Member Firms and submit them to Global to load on APro system

JIT

  • Provide prescribed as well as adhoc support to the JIT team as and when necessary. Duties could include, but not limited to, drafting of contracts, booking of flights, support with visa application processes, etc.

Qualifications


Minimum Qualification:

  • HR National Diploma or equivalent

Desired Qualification:

  • Degree or National Diploma

Minimum Experience:

  • 1 - 2 years' experience in mobility

Desired Experience:

  • 3 years’ experience working in a global corporate mobility team
